Our dental marketing process: the first four weeks, step by step
The Goat Group's dental marketing process takes a clinic from signed agreement to live, measured campaigns in four weeks: week 1 onboarding and scripts, week 2 filming and launch, week 3 qualified leads reaching the front desk, week 4 a working system attracting premium patients. After month one, we optimise on booked patients, not clicks.
How our dental marketing process starts
Before week one there are three short steps. First, a free 30-minute strategy call in which we audit your current setup: ads, website, Google Business Profile and the way enquiries are handled today. Second, a personalised offer within 24 hours, priced on your scope (clinic size, number of locations, ad budget and production volume). Third, if you go ahead, the agreement and a data processing agreement (DPA), because everything we build has to comply with GDPR.
From there, the first month follows the same four-week structure for every clinic. The details are tailored; the rhythm is not.
Week 1: onboarding and scripts
The first week is about access and preparation.
- Legal setup. Agreement and DPA signed, roles agreed on both sides.
- Access. We get access to your Facebook page, Instagram account, ad accounts, website and the WhatsApp number your clinic uses with patients.
- First changes. We fix the quick wins found during the audit, so the foundations are ready before any budget is spent.
- Tracking. We prepare Goat SST, our server-side tracking, so campaigns can learn from booked patients from the start.
- Scripts and filming day. We agree the treatments to focus on, write the scripts and book the filming day with your doctors.
Week 2: filming and launch
This is the week the system goes live.
- First filming day. Our production team films with your doctors and team. See dental video production.
- Editing. The editor receives the footage and turns it into ad creatives and short-form content.
- Launch. The media buyer launches your Meta and Google Ads campaigns.
- First contacts. The first enquiries start to arrive, and automated replies make sure none of them wait.
Week 3: leads
By week three, real patients appear. Traffic comes in from several channels at once (paid ads, social content, search), and your front desk starts receiving qualified leads rather than random form fills. WhatsApp automation answers new enquiries within minutes and moves them towards a booked consultation. We review lead quality with you and adjust targeting, messages and creatives where needed.
Week 4: results
The aim of the first month is a clinic that works like an attention machine: steady content, campaigns learning from real patients, and enquiries for premium treatments reaching a front desk ready to handle them. At this point we look at the numbers together and agree the priorities for month two.
What your clinic needs to prepare
The faster we receive these, the faster we launch:
- Admin access to your Facebook page, Instagram account and Meta business portfolio.
- Access to Google Ads, Google Analytics and Google Business Profile, if you already have them.
- Access to your website, domain or hosting.
- The WhatsApp number you use with patients.
- A list of priority treatments and a realistic view of how many new patients you can take each week.
- Two or three possible filming dates when your doctors are available.
- One person at the front desk who owns new enquiries and records which ones book, attend and accept treatment.
- Any content your professional body or national rules require you to review before medical advertising goes live.
What happens after month one
After the first four weeks, the work shifts from building to improving:
- Optimisation on patients. Goat SST sends booked appointments and other patient events back to Meta and Google, and budget moves towards the campaigns and treatments that bring patients, not just leads.
- New content. Regular filming days keep creatives fresh, so ads do not wear out.
- Local visibility. Local SEO work on Google Business Profile, citations and a steady rhythm of reviews.
- Better conversations. WhatsApp flows are refined based on the questions patients actually ask.
- The rest of the Incubator System™. Retention (NPS, recalls, memberships), a patient-to-patient referral engine and reactivation of your existing database.
What we ask of you
Marketing brings the patient to the door. What happens next depends on the quality of your dentistry and on how your front desk handles each enquiry. Clinics that answer quickly, follow up and share feedback with us get more out of the same budget.

Frequently asked questions
How long does it take before our campaigns go live?
In our standard process, campaigns go live in week two, straight after the first filming day, once the editor has turned the footage into ads. The pace also depends on you: the sooner we receive access to your pages, ad accounts, website and WhatsApp number, the sooner we can launch.
How much of our doctors' time does onboarding take?
The biggest commitment is the filming day in week two. Before it, we need time with you to agree the treatments to focus on and approve the scripts; after it, quick approvals of the edited content. We plan the filming day around your schedule so that it disrupts patient work as little as possible.
When will we see the first new patients?
In our four-week structure, first contacts arrive during week two and qualified leads reach your front desk in week three. How many of them become patients depends on your offer, your front desk's response time and the quality of your dentistry, which is why we review lead quality with you from the start.
What happens after the first four weeks?
We move from building to optimising. Budget shifts towards campaigns that bring booked patients, measured through Goat SST, new filming days keep the content fresh, and we add local SEO, refined WhatsApp flows, retention, referrals and database reactivation. The priorities for each month are agreed with you based on the numbers.
Do we need a new website before we start?
Not necessarily. We review your current site during the audit on the strategy call. Often the fastest route is to keep the website and add treatment-specific landing pages built for booked consultations. If the site itself is holding you back, we say so and include it in the offer.
